I. Basic Purpose:

Coordinates the day to day operations of the department such as clerical priorities; assembling patient charts, obtaining orders and documents for the patient's charts. Verifying documents and checking for discrepancies. Maintains the PreAdmit schedule. These duties are performed accurately and consistently to maintain a patient friendly environment.

II. Major Duties and Responsibilities:

  1. Complies with established corporate and departmental policies, procedures, objectives, quality assurance methods, and safety codes. Demonstrates compliance with licensing, regulatory and accrediting agency provisions as required.

  2. Consistently demonstrates appropriate and professional communication behavior toward patients, customers, and coworkers. Cooperates with Management and peers to promote an environment of teamwork and collaboration.

  3. Serves as site contact for physicians and internal departments, and external customers regarding distribution of information and coordination of administrative activities.

  4. Acts as the customer service representative for the office. Liaison between Pre-Admission, OR, and Physician's offices. Provides information to patients, and assures accuracy of schedules.

  5. Orders supplies as requested, and coordinates repair of office equipment.

  6. Responsible for accurate and timely workflow for the department, including process improvements and problem resolution. Responsible for work priorities and deadlines, assist in the training of new staff.

  7. Works with clinical staff as liaison to ensure efficient patient flow and quality patient care.

  8. Reports status of assigned activity completion, patient complaints or requests to the RN/LPN as indicated.

  9. Responsible for coordinating the daily schedules for the department.

  10. Assists in the maintenance of established department/office policies, procedures, goals and objectives. Complies with all quality assurance, safety, environmental and infection control directives. Adheres to all codes and requirements of accreditation and regulatory agencies.

  11. Attends in-services and/or meetings as required. Enhances professional development through educational programs and/or classes.

  12. Maintains annual mandatory education requirements specific to position as mandated by Martin Memorial Health Systems.

  13. Performs all other duties as assigned or requested.

III. Minimum Requirements (experience, training, and education):

To effectively fulfill this position, candidate must meet the following requirements:

> 3-5 years secretarial/office coordinator experience and/or customer service experience required;

> 2-year degree in secretarial or computer science, business or public relations preferred;

> Previous phlebotomy/EKG experience preferred;

> Familiarity with medical terminology and patient registration procedure preferred.

Ability to effectively communicate with all levels of associates, patients, families, physicians and general public.

Physical Requirements: (Clerical I)

Position is mostly sedentary and requires the ability to sit for prolonged periods. Lifting and carrying weights of up to 10 pounds from low to high levels is occasionally required and is an essential function of the position. Grasping and reaching are frequently required handling demands. Occasional walking, bending, kneeling, reaching overhead, and standing are also required. Independent decision-making is required. Mental concentration and working with precise limits of accuracy are important. Physically repetitive work comprises 90% of this job.
